Video conference

Many notarial procedures can now be carried out by videoconference: from receiving advice to electronically signing some of the acts that legislation allows to be carried out remotely, such as powers of attorney or mortgage cancellations.

The connection is made through the Notarial Citizen Portal, the official platform of the General Council of Notaries, developed by the Technological Center of Notaries (CTNotariado), which guarantees the identification of those appearing, the confidentiality of communications and the security of the electronic signature.

The process to prepare the videoconference is as follows:

  1. Register in the Notarial Portal

To participate in a notarial videoconference you must have an account in the Citizen Notarial Portal: access the registry and fill out the form with your personal information, including email and telephone. It is necessary to have a valid DNI, NIE or passport.

If you want to register as a representative of a company, you must go to a notary to verify the details of the company and its representation.

  2. Prepare the device and connection

We recommend using a computer for the video conference. Although some functions are also available from a mobile phone, reading documents and electronic signatures are more convenient from a PC.

  3. If you are going to sign by video conference

  4. When the videoconference is going to be used for the electronic signature of a notarial document, you must also carry out the following additional steps in advance:

    1. Request an appointment with the notary, indicating the type of document you want to sign.
    2. Upload your identity document to the Profile section of the Citizen's Notarial Portal. From the moment you have an appointment with the notary, the function of attaching images will be enabled, and you must upload the images of your identification document to your profile on the Notarial Portal.
    3. Check if you have an electronic signature:
      1. If you already have a signature certificate issued by a qualified provider (for example, an electronic DNI), you must ensure that you have the AutoFirma software installed. This certificate is not valid for electronic signing on a mobile device.
      2. If you do not have it, you can obtain it for free through the Citizen's Notarial Portal itself, as long as you have a DNI or a Residence Permit (TIE), both issued in Spain, in force.  This is the only valid certificate to sign electronically on a mobile device. The issuance must be made before the appointment, as follows:
        1. Log in to the Portal.
        2. Open the side menu.
        3. Select Electronic Certificate.
        4. Click Notarial Portal Certificate Issuance.
        5. Follow the on-screen instructions (requires video identification process).
  5. Validate the electronic signature certificate, to verify that it can be used correctly on the day of signing, whether you have your own electronic certificate or if you have requested its issuance from the Notarial Portal itself:

    1. Access Electronic Certificate.
    2. Select Validate certificate from the Notarial Portal, when it has been issued from the Portal itself.
    3. Select Validate third-party certificate, when it comes from another provider.
    4. Perform the validation test.
    5. Verify that the system confirms that the certificate is valid.
  6. On signing day, log in from a computer, mobile phone or tablet.

    1. Enter www.portalnotarial.es.
    2. Sign in.
    3. Check that the browser has permission to use the camera and microphone.
    4. Close other applications that may be using the camera.
    5. Connect the computer to power, if you use a laptop.
  7. Keep your mobile phone available and at hand. It may be required to receive messages, verification codes, or complete the electronic signature process. You should also keep your valid identification document nearby.

  8. Open the video conference

    1. Access the My Appointments section.
    2. Locate the corresponding citation.
    3. Press Video Conferencing.
    4. Allow the browser to use the camera and microphone.
    5. Check that you can see and hear yourself correctly.
    6. Wait for the notary to connect.
    7. Once connected, follow its instructions.
